An overview of the transition to UTORid and its implications
The current state: To access ROSI-SWS, students currently use a student number and PIN.
The future state: JOINid / UTORid will replace the current student number and PIN authentication credentials on ACORN. This change will allow students to use a single sign-on across many university web applications (ACORN, the Portal, UTMail+, Degree Explorer, etc.).
The following communication was sent to all Divisional Registrar’s Offices in January 2015:
In order to ensure all students have uninterrupted access to the student information system, we propose that one of the two existing processes for assigning JOINid/UTORid for new students be adopted by divisions not currently using the process. This would create a more uniform experience across the University, allowing for consistent communications and instructions for students entering their first academic year. More specifically, divisions who currently use different mechanisms for assigning access to SWS (ROSI & ACORN) should consider the following two processes:
1. UTORid: Assigning a UTORid by issuing a TCard to an eligible student.
This process will work for any students who do not require access to ACORN before coming to campus for the first time. Students can obtain their T-Card to receive a UTORid and gain access to ACORN.
2. JOINid: Assigned to students at the time of applying to the University, then converting this to the UTORid.
In order to be assigned a JOINid, the student’s candidacy record needs to be created in ROSI. This is currently done during the application process (OUAC, ORPAS), and for most direct entry divisions this will not change.
An A* or O* candidacy status in ROSI (depending on the divisional procedures) triggers the creation of a registration record which in turn is used to set the appropriate access flag on the student’s account, this data is then updated on nightly basis. We propose that this step be the point at which the admitted student becomes eligible to access both the Portal and ACORN.
Divisions are responsible for notifying applicants of their JOINid and outlining the process for ‘activating’ it (or creating a password for it). Again, for most direct entry divisions there is no change to the current process where applications and all related communications are handled through Enrolment Services. Divisions are responsible for sending out instructions to admitted students, informing them they must pick up their T-Cards and ‘promote’ their JOINid to UTORid.
