UTime: U of T's Time and Attendance Solution
PROJECT OVERVIEW
The University of Toronto is upgrading its time and attendance solution to Ultimate Kronos Group’s (UKG) Pro Workforce Management solution, branded as UTime, ahead of the planned retirement of Kronos Workforce Central in 2025. UTime will provide an enhanced user experience with a refreshed look and feel, while maintaining the robust timekeeping functionality currently familiar to users.
This initiative, led by Information Technology Services in collaboration with the Division of People Strategy, Equity & Culture, and various divisions and faculties across the university, is anticipated to be completed by summer 2025.
As part of this upgrade, the project team is also introducing enhancements to optimize, automate, and improve administrative business operations across the university. These advancements will modernize processes and streamline workflows, supporting the university’s commitment to operational excellence.
BENEFITS
- Improved mobile-friendly user interface and navigation, providing easy access to frequently used actions.
- Improved dataviews and robust reporting, providing standard user-friendly insights that enhance transparency and tracking.
- Automated notifications that simplify timecard approvals and tracking employee hours.
- Enhanced alignment with U of T’s payroll system for improved information delivery and data accuracy.
- Streamlined and simplified processes for managing, tracking and reporting on employees with multiple assignments.
- Piloting advanced scheduling functionality with select departments at U of T Mississauga and the Faculty of Kinesiology & Physical Education – includes call lists, shift swap and shift pattern template.
WHAT DO YOU NEED TO KNOW?
U of T’s central timekeeping and advanced scheduling solution has over 7,000 users and is established in over 25 divisions, faculties and departments at the university. UTime has an improved look and feel while maintaining timekeeping functionality currently available in Kronos’ Workforce Central.
To facilitate a smooth transition to UKG’s Pro Workforce Management product, no new client groups will be onboarded until UTime has gone live and stabilized. However, for existing client groups, new managers/supervisors and users can continue to be added or modified in Workforce Central during the implementation.
