Enterprise Applications & Solutions Integration (EASI) would like to update you on the latest major production releases and updates for U of T’s Administrative Management Systems (AMS) and Enterprise Shared Services.
The following are major changes from June 1 to September 30, 2025:

Financial Information System (FIS)

SAP Asset Management (September 6)
EASI, in partnership with the vendor and Facilities & Services, upgraded the SAP Asset Management application on September 6, delivering faster performance, new features and real-time updates for field technicians. This long overdue upgrade is significant because technicians handle over 60,000 service orders annually. The improved responsiveness, enhanced notifications and an upgraded user interface help to boost productivity and data accuracy. This upgrade also ensures that this application stays in compliance with the university’s cyber security standards and policies.

Concur Travel & Expense
Currently, U of T processes over 68,000 expense reimbursement claims per year. The implementation of the Concur Travel and Expense module represents a full transformation of this process by streamlining processing (workflows), modernizing entry and approvals (access by mobile devices) and expediting of the entire expense process for U of T employees. Concur will be available for all staff, faculty and librarians (including student employees with an active HRIS record) from October 14, 2025.

Human Resources Information System (HRIS)

UTime (August 3)
UTime, U of T’s new time and attendance solution, successfully launched on August 3 to over 5,000 users in 28 faculties, divisions and departments. The launch included 49 time clocks, as well as PC and mobile applications. UTime brings streamlined time entry for employees with multiple jobs, additional system notifications, accessible job reports and new advanced scheduling functionality – ensuring more efficient workforce management across the university. This initiative involved close collaboration between EASI and the Division of People Strategy, Equity & Culture, and areas across the university.

My Research

Research Security Features (July)
This summer, EASI and the Division of the Vice-President, Research & Innovation (VPRI) rolled out a new Research Security page in My Research Applications & Agreements (MRA) to complement the recently launched Research Security Self-Assessment Tool on the VPRI website. Researchers applying for research funding or requesting non-funded agreements can access the new Research Security Self-Assessment Tool directly in MRA to help them identify research security policies that may be applicable to their project.

To start using MRA to submit an application or request a non-funded agreement, login to the My Research (MR) portal.

Enterprise Shared Services

Automating Alumni Mailbox Provisioning (Summer)
This summer, Enterprise Shared Services made it easier than ever for new graduates to stay connected with U of T by automating the alumni mailbox provisioning process. In July, over 18,000 invitations were sent to the June graduating class, encouraging them to opt in for an alumni mailbox. Thanks to new automation tools, the process is now highly efficient, with fewer than 30 requests requiring manual intervention.
Over 4,500 graduates have already signed up, and the number continues to grow!

UTsend (August)
In August, EASI announced the launch of UTsend, an enhanced file transfer service for sharing content with internal and external collaborators. UTsend provides U of T staff, faculty and librarians with a secure alternative to email for sending and receiving confidential information. It also supports the transfer of large files – up to 29 GB per message. Files are hosted for 14 days and are encrypted, authenticated and virus-scanned to ensure maximum security.
