Frequently Asked Questions – S/4HANA Migration

These FAQs were compiled from the Connect+Learn sessions offered on October 15 and 22. We will continue to add to this list as we receive more enquiries.


Will the new Expense Reimbursement Direct Deposit (ERDD) system allow documents to be scanned in to be reviewed before posting? Will the ERDD process allow for electronic approval using a workflow system?

Technical development is still in the early stages and testing is ongoing with the new ERDD web-based application. Initial functionality would continue to include the option to ‘Save’ the claim and ‘Post to FI’.  The ability to scan documents (receipts) and allow for electronic approval would need to be further reviewed from both a technical and ongoing policy standpoint.

Will the new ERDD allow claimants to provide a different text/business purpose for each receipt? This is especially useful when they are submitting expenditures for multiple trips/reasons.

Currently and going forward the ‘Purpose and Relevance to University Business’ field allows for a maximum of 250 Characters when creating and saving the claim. Having said that, only the first 33 characters (in combination with other data) are copied to the Line Items text. Options to manage this situation are to a) create individual claims for each trip/business purpose or, b) use the Assignment field to code each item. Additional options may be available in the development and testing phases of the new ERDD on the Web.

Currently we do not use ERDD as it does not provide sufficient space for the claimant to provide a business rationale.

Is there any directive/memo addressed to U of T employees that ALL employees (more specifically faculty members) use the ERDD system to request reimbursements? Only one faculty member in our unit uses the system.

There is currently no university-wide directive/memo to require claimants to use the ERDD system.  However, this can be implemented at the Division/Departmental level and has been done in several areas

Is the RPT clone going to be removed for HRIS as well?

Yes. The last RPT clone will be taken on October 31, 2020 once payroll and month-end have completed.

Will the reports be listed alphabetically?

They most likely can be. Thank you for the suggestion.

Will there be changes for how to log into SAP with this migration?

The overall process will be the same. You should already have an entry in your GUI Logon screen for “AMS [HANA]”.  We will also be sending out an email on October 28 on the AMS listserv with specific instructions. We will link to those instructions once they have been sent.

Will we be able to still open multiple GUI windows on the cloud platform?

Yes. You will still be able to open multiple GUI windows on the cloud platform.

Will all SAP modules still be available in S/4HANA (i.e. RIS and  B6)?

Yes and these have all been tested by a large number of central and divisional testing participants.
