Enterprise Applications & Solutions Integration (EASI) would like to update you on the latest major production releases and updates for U of T’s Administrative Management Systems (AMS) and Enterprise Shared Services.
The following are major changes from March 1 to May 31, 2025:
Financial Information System (FIS)
Concur Travel & Expense – Phase 1 (March 12)
Currently, U of T processes over 68,000 expense reimbursement claims per year. The implementation of the Concur Travel and Expense module represents a full transformation of this process by streamlining processing (workflows), modernizing entry and approvals (access by mobile devices) and expediting of the entire expense process for U of T employees. Phase 1 Go Live for Concur occurred on March 12, 2025, with additional Phase 2 and Phase 3 releases to occur in June and October of 2025.

AMS Fiscal Year-End Closure 2025 (May 1)
Multiple teams from EASI and Financial Services worked together to ensure the 2025 FI Fiscal Year-End event was successful. The benefits of the SAP S/4HANA environment continue to reduce overall processing time. Fiori Launchpad Reporting continues to allow users to carry on with their business operations during the fiscal year-end closure period. Throughout the year, the teams worked to optimize system efficiencies and continued to reengineer programs to decrease processing times.
Human Resources Information System (HRIS)
UTime
EASI, in collaboration with the Division of People Strategy, Equity & Culture, is preparing to launch a new time and attendance solution this summer. Powered by UKG Pro Workforce Management, UTime offers a mobile-friendly interface, improved reporting, automated notifications and improved integration with U of T’s payroll system. The project also introduces new capabilities for managing employees with multiple assignments and is piloting advanced scheduling features with the University of Toronto Mississauga and the Faculty of Kinesiology & Physical Education. The initiative is currently in the testing phase. After consulting with divisions and Faculties, the launch date for UTime has been set for August 3, 2025. Please stay tuned for more information on this project leading up to the launch.
Enterprise Shared Services
Sensitivity Labels in M365 Pilot (April 30)
On April 30, Information Technology Services, in close collaboration with the Temerty Faculty of Medicine, completed a data sensitivity labeling pilot. Using Microsoft Purview – a comprehensive data governance platform designed to classify, protect and manage data throughout its lifecycle – the initiative has ensured compliance with the Information Security Council’s recommendations. This project has enhanced security by actively protecting sensitive data, enabled real-time tracking of compliance status, and laid a robust foundation for future-oriented data governance practices. The next phase of this project involves scaling the program university-wide to standardize data protection and governance practices across U of T, significantly enhancing compliance, security and operational transparency.
Reporting and Analytics Technology
Microcredentials Release 1.0 (April 30)
The Reporting and Analytics Tech team, in collaboration with EASI’s User Experience & Process Design team, successfully delivered the initial release of the Microcredentials project on April 30. This release introduced a data mart containing OSAP-eligible microcredential courses, along with a suite of Power BI reports. As a result, the Division of the Vice-President & Provost can now efficiently report OSAP eligibility for University of Toronto microcredential courses to the Ministry of Colleges and Universities (MCU), ensuring compliance with government reporting requirements.
