Starting on November 24, the University of Toronto will move to a full-service shared mailbox creation process. Faculty and staff will submit online requests for new shared mailboxes directly to the University’s Enterprise Service Centre (ESC). Reader Registration will no longer be processing new shared mailbox requests.

The new online request form will be available to the University community on November 24 via the ESC. Once the form is submitted, it will be processed by Information Technology Services (ITS). No additional setup is required by the requesting user, and the user will be notified once their new shared mailbox is ready.

Note: UTSC staff and faculty should continue to submit new shared mailbox requests through the IITS Help Desk via helpdesk@utsc.utoronto.ca /416-287-HELP (4357).

Can users still submit new shared mailbox requests to Reader Registration?

As of November 24, Reader Registration will no longer be processing new shared mailbox requests. All shared mailbox requests should be submitted online through the ESC as of November 24, 2020.

How will the new shared mailbox request process be different from before?

Currently, community members who request new shared mailboxes must submit shared mailbox requests on University letterhead to Reader Registration. They are then issued a library number and alternate ID number and directed through a set-up process.

The new shared mailbox request process only requires a single form submission: once the Create Shared Mailbox Request form is submitted through the ESC, the requester’s manager will automatically receive a notification to approve the request. Once approved, the rest of the set-up process is facilitated by ITS. The requesting user will receive a notification when their shared mailbox is ready, and no other steps are required.
