Enterprise Applications & Solutions Integration (EASI) would like to update you on the latest major production releases and updates for U of T’s Administrative Management Systems (AMS) and Enterprise Shared Services.

The following are major changes from December 1, 2024 to February 28, 2025:

Financial Information System (FIS)

Serrala FS2AP Upgrade (February 10)
On February 10, EASI upgraded the Serrala technology to the most recent version to ensure the continued efficient processing of over 30,000 yearly invoices. The Serrala system provides users with an automated “invoice to pay” workflow. Using optical character recognition technology, invoices are automatically created in SAP which then kicks off the workflow routing the invoice for required review and approvals and then on to final payment.

Human Resources Information System (HRIS)

Vacation Payout Calculation (December)
In December 2024, the HRIS team implemented the necessary system changes to improve the accuracy of lump sum vacation payment calculation. Vacation entitlement reporting will be updated to reflect enhanced calculations, providing administrators with improved visibility into liabilities and risk.

Employee Central Project Phase 2A Completed (December)
In December 2024, EASI and the Division of People Strategy, Equity & Culture completed Phase 2A of SAP’s SuccessFactors Employee Central and Onboarding project, an initiative that will modernize HRIS processing from hire-to-retire, enhance data accuracy and improve employee self-service. Phase 2A included workshops to address business pain points and gather insights for future decisions on employee services, data migration and custom HRIS infotypes. This phase also highlighted additional design requirements. The team is now synthesizing gathered information and is planning the upcoming phase – detail design and implementation.

Enterprise Shared Services

Recent Graduates Email Offboarding (February)
From February 1 to 10, 2025, Enterprise Shared Services offboarded 18,093 email accounts for the 2024 graduating class, resulting in storage savings and improvements to security.

IT Change Management (February 19)
On February 19, Information Technology Services (ITS) launched a new IT change management process designed to increase visibility, efficiency, consistency and communication related to changes applied to ITS-managed systems and solutions. The EASI team implemented the new process in the Enterprise Service Centre/ServiceNow and provided training open to all ITS staff in support of the launch.

Research Information System (RIS)

New Outgoing Sub-awards Request Form Launch (February 18)
On February 18, EASI and the Division of the Vice-President Research & Innovation (VPRI) launched a new web-based form in the My Research portal that allows researchers to request the transfer of funding from their research award to a co-investigator at another organization. The information in the form flows to the VPRI Research Officer and allows them to establish or amend a sub-award agreement with the collaborating organization, making it easier and faster for researchers and VPRI staff to manage funding for hundreds of collaborative research projects. For more information, visit the My Research Funds (MRF): MROL and FReD Renewal Initiative page.
