U of T launches initial Student Advising Service platform

On July 26, the University of Toronto launched the Student Advising Service, a platform set to enhance advising supports and resources for the University’s students and advising staff, increase administrative efficiencies and increase overall student wellbeing, success and retention.

The new platform will serve as a single system for presenting the interconnected student story, helping advisors provide consistent, transparent, timely and comprehensive guidance, and enhance collaboration across and between divisional advising units.

This initial release focuses on functionality for advisors, with all Faculty of Kinesiology & Physical Education (KPE) advising staff and staff working in the Faculty of Arts & Science (A&S) Office of the Faculty Registrar beginning to use the service later this summer. Staff in A&S colleges and academic units will follow in the 2023-24 academic year.

“Given the goals we have for student experience at U of T, we saw a clear opportunity to establish a better wayfinding process and transform academic advising,” says Susan McCahan, vice-provost, innovations in undergraduate education (VPIUE). “This service will allow us to better understand our students’ needs and provide them with the resources and support to succeed academically and beyond.”

The solution, also known as Salesforce Student Success Hub for Higher Education, provides a modern and intuitive user experience and is part of the Next Generation Student Information Services Program. Through this program, the university has made significant investments in technology to create a more student-centered and supportive educational environment.

“Our world-class institution requires innovative and responsive technology,” says Cathy Eberts, director of enterprise applications and deputy CIO with Enterprise Applications & Solutions Integration (EASI). “This platform is an example of how we are leveraging technology to improve the overall student and staff experience.”

In partnership with VPIUE, EASI has worked to implement the first phase of the project with A&S and KPE.

Through the Student Advising Service, advising staff will be able to view, interact with and manage a comprehensive student advising record that is integrated with U of T systems, including the university’s Student Information Systems. In addition, it will bring together relevant student demographic and academic information into a single system to support advisors. As advisors work with students, this record will create a history of a student’s advising interactions, including appointment, note, case, and referral management.

“Advising staff will have real-time access to the information they need to best support students,” says Julian Weinrib, director, innovations in undergraduate education. “They will be able to quickly pull up a record of past interactions and their topics, understand individual student appointment and referral outcomes, and consult a knowledge base for consistent information on policies and procedures. Having this information ready-to-hand in a single system will free up advisors’ time and provide them with powerful data to do what they do best; helping our students achieve their goals.”

The platform will also provide reporting to further improve communication and student support.

On the application’s launchpad, advisors will see their contacts, cases, reports, knowledge articles, dashboards and notes. They can easily navigate across the application to view their current student requests, referral cases, upcoming appointments, tasks and quick links.

To ensure U of T implemented an optimal enterprise solution, the university undertook comprehensive external reviews and consulted broadly with divisions across all three campuses.

“In Arts & Science, we’ve long recognized the need for a comprehensive advising service that will standardize, streamline and elevate our student advising culture, practice and processes in College Registrar’s Offices, academic units, and the Faculty Registrar’s Office,” says Lisa Feng, faculty registrar and director of academic services. “We see the Student Advising Service (SAS) as a transformative tool to support consistency in service and enable best practices based on a holistic student advising model. The fact that the SAS is an institution-wide project is very exciting as we’ll be able to improve wayfinding, share notes and easily refer students to our A&S colleagues and eventually to our partners across the university.”

What’s next for the Student Advising Service?

During the 2023-24 academic year, the Student Advising Service team will work with participating academic divisions implement a student-facing portal. Advising functionality will also be expanded to other divisions, and regular product enhancements will be released to improve the overall user experience.

“The launch of this phase of the Student Advising Service is a major milestone, and we’re excited to start development on the student-facing application,” says McCahan. “Ultimately, this platform will advance U of T’s mission to reimagine and reinvent undergraduate education. It will also help to support institutional goals for student success, quality service, and student retention and graduation.”

Friday, July 28 will be a very heavy enrolment day for students in ACORN, and we expect higher than normal system resource usage for most of the morning.

Please avoid running any ROSI-related processes that might place any additional burden on the system between 8 am and 1 pm on Friday, July 28.

Processes to avoid include:

  • ROSI batch jobs
  • ROSI admissions correspondence batch printing
  • ROSI Express reports
  • Degree Explorer reports and program assessments

On this heavy enrolment day, students will be restricted from accessing some ACORN functions.

After 1 pm on Friday, restrictions on the systems will be lifted.

Please note that we will need to take ROSI and most associated student information systems offline on Friday, August 18 from 5 p.m. to 9 p.m. to perform quarterly maintenance on the database. We will return the systems to service sooner if the work is completed earlier than 9 p.m.

In addition, while ROSI-REPLICA on MI will remain accessible during the maintenance, data will not be synced with ROSI starting at 5 p.m. It will be synced again at 9 p.m. when maintenance is complete.

Reminder: U of T Stream Classic retirement

Dear colleagues, 

As per our June memo, Microsoft Stream Classic will be retired for U of T on August 29. Stream Classic video owners have until August 29 to download or request migration for videos they would like to move to the new version of Stream built on SharePoint. As of July 11, users can no longer upload new videos to Stream Classic but can continue to view, share and download content. 

To minimize disruptions to teaching and administrative activities and ensure the community has uninterrupted access to video content originating in Stream Classic, the retirement continues to follow a phased approach. Please note the following important dates: 

July 11 to August 28  Users should review their videos in Stream Classic and download any videos they wish to retain. Users with large volumes of videos (>30) can submit requests to stream.support@utoronto.ca and have their content migrated to OneDrive or SharePoint (see information below). 
August 29, 2023  Stream Classic will be retired in the U of T tenant. Videos that have not been downloaded or migrated will no longer be accessible to end users.  

Next steps 

We ask that community members with videos in Stream Classic do the following as soon as possible: 

  • Review videos stored in Stream Classic and determine what content is still needed. 
  • Download or request migration for needed content.  
  • Update external links as required.

Support 

Information Technology Services (ITS) will continue to communicate with Stream Classic end users directly throughout the summer to provide instructions, reminders and resources. Our support team is also proactively contacting end users with large video repositories to schedule video migrations. 

EASI recently held two Connect+Learn sessions to give the U of T community an overview of the new version of Stream and the opportunity to ask questions about the Stream Classic retirement. Recordings of the sessions can be found on the Past Connect+Learn Sessions page.

Dear AMS users,

Enterprise Applications & Solutions Integration (EASI) has now transitioned SAP printing to a front-end solution that will make printing reports from AMS faster, easier and safer.

Starting today, your Output Device for printing AMS reports will default to “LOCL” on Windows. If you are a Mac SAP GUI user, please change your print default to “LOCM.” Using LOCL/LOCM, you can easily print reports to PDF and your local printer, as well as email reports directly from AMS.

This simplified approach can be used in all AMS/SAP modules. Please note, web-based applications, including Fiori Launchpad Reporting, Expense Reimbursement Direct Deposit and Employee Self-Service/Manager Self-Service, will continue to print as usual.

If you must process a CHOP for a student during this period, then you must trigger fees assessment by viewing the student’s invoice and forward an email message to bonnie.vincze@utoronto.ca.

University Registrar’s Office, Student Accounts is testing the Fall 2023-Winter 2024 session fees assessment process during this period, and if the testing is successful, fees assessment will be turned ‘ON’ at 5pm on Friday, July 14 and fees will be available to view on ROSI on Monday, July 17.

Update – ACORN Technical Issues

We’d like to provide an update regarding technical issues experienced by students during last week’s course enrolment in ACORN.

Our teams prioritized investigation into the issues and made system changes in preparation for course enrolment at UTSC and UTM this week. We also worked with these divisions to communicate with students. On July 5, UTSC students experienced slower enrolment times, however, these times were an improvement over the previous week. The team continued the investigation and found the root cause of the issue and changes were made on the afternoon of July 5. UTM’s enrolment this morning went smoothly with very minimal delays.

We will continue to monitor our systems on upcoming enrolment days, and we ask staff to limit use of ROSI-related processes that may place additional burden on the system during enrolment days next week:
