Hi Everyone,

ACORN experienced technical issues during course enrolment yesterday and today. The SIS team has been investigating the issue and has determined where the issue is occurring. The team is actively working towards determining the root cause and identifying possible solutions.

We are corresponding directly with divisions who have active course enrolment to work on mitigation strategies and support, and will be providing an update to everyone once we have more information regarding the issue and solution.

Currently, ACORN functionality has returned to normal and the team will continue to monitor should any other issues arise.

Default AMS/SAP Printing and Emailing PDFs

Dear AMS users,

As you may be aware, Enterprise Applications & Solutions Integration (EASI) is transitioning SAP printing to a front-end solution that will make printing reports from AMS faster, easier and safer.

Starting July 20, your Output Device for printing AMS reports will default to “LOCL” on Windows. If you are a Mac SAP GUI user, please change your print default to “LOCM.” Using LOCL/LOCM, you can easily print reports to PDF and your local printer, as well as email reports directly from AMS.

This simplified approach can be used in all AMS/SAP modules. Please note, web-based applications, including Fiori Launchpad Reporting, Expense Reimbursement Direct Deposit and Employee Self-Service/Manager Self-Service, will continue to print as usual.

If you have not already set your Output Device default to “LOCL” (Windows) / “LOCM” (Mac), you will see your current three-digit printer code.

On July 20, you will see “LOCL” as your Output Device. Mac users can change their default to “LOCM.”

Yammer Platform Being Disabled

Dear colleagues, 

We would like to make you aware of an upcoming change to Yammer services at the University of Toronto. Microsoft is currently upgrading the Yammer platform across all tenants and, at the same time, rebranding the service to Viva Engage.  

Given that Yammer is currently not institutionally supported, the Yammer service used by the community will be disabled effective July 31, 2023. As a result, all users will no longer be able to access any Yammer services after this date.  

This decision has been made based on the recommendations from a Microsoft Tactical Resources Committee (MTAC) working group in consultation with PSEC, UTC and FIPPO which identified several risks associated with the Yammer service, including:  

    • Potential legal implications over privacy and moderation; 
    • Freedom of speech barriers that can arise if the University takes on the responsibility of moderation; 
    • The fact that Yammer access for students cannot be restricted – there is concern of increased risk related to moderation, misuse, and privacy for this group; 
    • No clear organizational ownership for a potential Yammer Moderator role (including resourcing capacity); and 
    • The considerable duplication in functionality between Microsoft Teams and Yammer.  

Next Steps: 

We will notify the Yammer Community Owners beginning June 19th.  

Moving forward, we encourage users to utilize Microsoft Teams for their communication needs. Please refer to our existing training materials for Microsoft Teams to learn more about this service. As an institutional service, Microsoft Teams is supported by local IT organizations within the university as well as ITS. EASI will be contacting community owners to make them aware of this change and to provide guidance on this transition.

Reminder: AMS Password Reset Available in Enterprise Service Centre

Dear AMS Users,

As you may be aware, in an effort to streamline processes, increase security and provide an improved user experience, Enterprise Applications & Solutions Integration (EASI) has been working to update the current AMS Password Reset process.

Since April 17, users have been able to quickly and conveniently reset their AMS passwords through an automated process in the Enterprise Service Centre.

After a successful pilot, the previous form on the EASI website will be retired on June 22, 2023 and will redirect to the Enterprise Service Centre.

U of T Stream (Classic) retirement timeline

Dear colleagues,

Over the past year, Microsoft has been working to roll out a new and modernized version of Stream, the video application for Microsoft 365, that leverages SharePoint as its underlying platform.

As part of the transition to Stream (on SharePoint) Microsoft has announced that it will retire Stream (Classic). Once retired, videos stored in the University’s Stream (Classic) portal that have not been downloaded or migrated will not be accessible to end users.

Stream (Classic) video owners will have until August 29 to review and download or request migration for videos they would like to move to Stream (on SharePoint).

To minimize disruptions to teaching and administrative activities and ensure the community has uninterrupted access to video content originating in Stream (Classic), the retirement will follow a phased approach. Please note the following important dates:

July 11, 2023 

Users can no longer upload new videos to Stream (Classic) but can continue to view, share and download content. 

July 11 to August 28 

Users should review their videos in Stream (Classic) and download any videos they wish to retain. Users with large volumes of videos (>30) can submit requests to stream.support@utoronto.ca to have their content migrated to OneDrive or SharePoint. 

August 29, 2023 

Stream (Classic) will be retired in the U of T tenant. Videos that have not been downloaded or migrated will no longer be accessible to end users.

Support

Information Technology Services (ITS) will support the University IT and educational technology communities throughout this transition period with regular updates. We will communicate with the Stream (Classic) user community directly throughout the summer to provide information, cutoff reminders and resources. Our support team will proactively contact users with large video repositories to offer assistance via scheduled content migrations.

The first notice to Stream (Classic) video owners will go out on Thursday, June 8. We ask that Stream (Classic) end users, IT and educational technology support staff do the following:

Connection and community: EASI’s workplace wellness pilot program

In a move to connect with staff, create a sense of community, and implement sustainable wellness initiatives, Enterprise Applications & Solutions Integration (EASI) recently completed a six-month Wellness Pilot Program.

Launched in October 2022, this program leveraged lessons learned from a 2021 EASI focus group on return to campus, and engaged expertise from the Division of People Strategy, Equity & Culture (PSEC).

The pilot kicked off with an EASI Wellness Interest Survey to gather important insights from staff. It also involved the development of monthly toolkits that included wellness messaging slides for managers and wellness ambassadors to share with their teams, tips and resources based on the wellness theme of the month, a newsletter, suggested wellness activities, and a website.

“We wanted to make the return to the office more engaging and effective,” says Vikram Chadalawada, assistant director of student information systems with EASI, and program sponsor. “We also wanted to gather diverse perspectives and create an inclusive, impactful program that aligns on key wellness themes that would most benefit staff.”

Measuring sentiment and outcomes was crucial for the success of the pilot.

“By gathering survey feedback, we could analyze key areas of concern,” says Chadalawada. “We discovered that staff would like resources that focused on topics including work-life balance, mental health training and workshops on health topics. Not only could we ensure we delivered relevant resources, but we could also work in a flexible way, modifying our approach based on program adoption.”

With this feedback, the Wellness Program Team hosted focused sessions to provide EASI staff with useful resources. These included popcorn webinars on adjusting to the workplace, healthy habits, financial stress and respectful relationships.

“I wanted to thank all the ambassadors especially, Mariana, Dana, Aline and Richa who spent a lot of time and effort preparing the popcorn prior to each wellness webinar and working tirelessly behind the scenes to ensure each event was successful,” says Chadalawada.

The pilot involved six Wellness Ambassadors, who provided input, implemented resources, and promoted the program to staff.

“It was important to me to be involved in this pilot to raise more awareness about health topics and wellness resources,” says Aline Pruvot, services engagement coordinator with EASI, and lead wellness ambassador. “Organizing wellness events has been fun! I truly enjoyed sharing information and resources with the EASI community, and it was a fantastic opportunity to get to know EASI staff better.”

It was also crucial to work collaboratively with PSEC staff. Richa Chodha, an integrated wellness consultant with PSEC, was instrumental in putting together the program – from helping with the terms of reference to providing guidance and monthly toolkits.

“I was involved in planning and creating structure around a wellness program while collaborating with EASI leaders on the best way to promote and implement wellness initiatives for their group of staff,” says Chodha. “Every team will have different well-being needs and therefore it’s imperative to listen to the feedback received from staff, to ensure the success of the program and take a human-centered approach. These programs help employees feel heard and valued while shifting the culture in a positive direction.”

The pilot ended in March 2023, and a celebration to recognize participants was held on April 25.

“These types of wellness programs are important,” says Cathy Eberts, director of enterprise applications and deputy CIO with EASI. “A tremendous amount of work has gone into this pilot and it has been a great example of the type of shared leadership we are hoping to foster within the department.  I’m excited to see where this program takes us in the future.”

Next steps for the program include recruiting more Wellness Ambassadors and promoting the website, which has information on how to get involved, a calendar of events, resources and a discussion board. The program will officially launch in summer 2023.

“We’re excited that this pilot was so successful, and we were able to take workplace wellness to the next level,” says Chadalawada. “Not only can this pilot serve as a useful foundation for our department, but it can also provide an example for other areas of the university.”

M365 Web Apps minimum supported browsers changes from July 2023

Starting July-2023, customers using unsupported browsers, or unsupported versions of supported browsers will have a degraded experience or be unable to connect to the Microsoft 365 web apps mentioned in the products affected section.

For the best experience with Microsoft 365 for the web, it is recommended to use the most recent versions of the following browsers:

  • Windows 10 / 11: The new Microsoft Edge, Microsoft Edge Legacy, Mozilla Firefox, or Google Chrome
  • Windows 8.1 or 7 (SP1): The new Microsoft Edge, Firefox or Chrome
