Re: Scheduled LISTSERV Upgrade Service Interruption for June 1112

Dear colleagues,

Please be advised that the LISTSERV service will undergo a scheduled outage to migrate the LISTSERV server from AlmaLinux OS to Windows Server 2022. At the same time, the LISTSERV application will be upgraded from version 16.0 to 17.5. This change is necessary to streamline system maintenance and ensure the secure operation of the LISTSERV service.

Service outage window:

Start time: June 11, 2025, at 2:00 p.m.

End time: June 12, 2025, at 5:00 p.m.

During this period, all LISTSERV functions will be unavailable. Please note that users will not be able to send or receive messages via the LISTSERV service, nor will they be able to access LISTSERV administrative functions. Senders are encouraged to send any urgent LISTSERV messages either before the outage window or after it.

Once the upgrade is completed, there will be no material change to the end user experience or LISTSERV administrative functions except for the list creation process and the LISTSERV web interface. Refer to these knowledge base articles for changes to list creation and the new web interface:

We apologize for any inconvenience this may cause and appreciate your understanding and support as we work to improve your LISTSERV experience.

Should you have any concerns or questions, please contact help.desk@utoronto.ca.

Thank you for your patience and cooperation.

Update on UTime – U of T’s Time and Attendance Solution

Date: May 7, 2025
To: Payroll Administrators; AMS Listserv
From: Enterprise Applications & Solutions Integration
Re: Update on UTime – U of T’s Time and Attendance Solution

Hi everyone,

We are pleased to provide an update on the rollout of UTime, U of T’s Time and Attendance solution. This application, which will replace Kronos Workforce Central, offers an enhanced user experience, along with robust timekeeping, advanced scheduling and much improved reporting.

Over the past year, the Enterprise Applications & Solutions Integration (EASI) team, in collaboration with the Division of People Strategy, Equity & Culture (PSEC), has worked to implement a new application for enhanced time and attendance, which is tightly integrated with U of T’s on-premises Human Resources Information System used to process most employee payroll. During the design phase, the project expanded its scope to also include brand new capability for tracking and reporting on employees with multiple assignments. We are currently in the testing phase, and the project is progressing well.

After consulting with divisions and Faculties, the launch date for UTime has been set for August 3, 2025.

Benefits of UTime

  • Improved mobile-friendly user interface and navigation, providing easy access to frequently used actions.
  • Improved dataviews and robust reporting, providing standard user-friendly insights that enhance transparency and tracking.
  • Automated notifications that simplify timecard approvals and track employee hours.
  • Enhanced alignment with U of T’s payroll system for improved information delivery and data accuracy.
  • Streamlined and simplified processes for managing, tracking and reporting on employees with multiple assignments.
  • Piloting advanced scheduling functionality with select departments at U of T Mississauga and the Faculty of Kinesiology & Physical Education – includes call lists, shift swap and shift pattern template.

Please stay tuned for communications on training, pre-launch activities and support. Please pass this message along to managers/supervisors in your area who currently use Kronos.

If you have any questions about the project, please contact our Project Manager, Farah Ally, at farah.ally@utoronto.ca

To:  ROSI Users; Registrar’s Offices
From:  Enterprise Applications & Solutions Integration
Re:  ROSI Database Quarterly Maintenance – Friday, June 6

Dear ROSI users,

Please note that we will need to take ROSI and most associated student information systems offline on Friday, June 6 from 5 to 9 p.m. to perform quarterly maintenance on the database. We will return the systems to service sooner if the work is completed earlier than 9 p.m.

The ROSI-REPLICA on the Managed Instance (MI) will remain accessible during the maintenance. Data syncing with the ROSI transactional database will restart 10 – 20 minutes after the end of the maintenance period and applications have been restarted.

The following systems will be affected:

  • Accommodated Testing Services (Student and Admin)
  • ACORN
  • Course Information System
  • Degree Explorer (Student and Admin)
  • EASI Institutional File Transfer
  • eMarks
  • Online Administrative Student Information System (OASIS) – including Absence Declaration, and the Timetable Builder and Transfer Equivalencies database administrative screens
  • ROSI
  • ROSI Express
  • ROSI Files
  • Safety Abroad Student Registry
  • Varsity Blues Registration System
  • Web services/APIs

Timetable Builder (Student) will remain available.

A notice will be posted on the ACORN launchpad so that students will be aware of the outage.

Thank you for your patience as we make these improvements.

This email has been sent from a service account and does not accept replies. Please direct any follow up questions to the Enterprise Service Centre http://www.uoft.me/esc

End-to-end encryption for 1:1 Microsoft Teams calls

Date: April 22, 2025
To:  ACE-IT, EITU
From: Enterprise Applications & Solutions Integration
Re: End-to-end encryption for 1:1 Microsoft Teams calls

Dear colleagues,

This is to inform you that we will be enabling “End-to-end call encryption” (E2EE) for Microsoft Teams unscheduled 1:1 calls. Users will have the ability to toggle this feature on or off as needed.

E2EE ensures that your call content is encrypted before it’s sent and decrypted only by the intended recipient. This means only the two endpoints can access the call data, and no other party, including Microsoft, can decrypt the conversation.

For detailed instructions on how to enable or disable this feature and to understand how it may impact certain advanced Teams call functionalities, please refer to this knowledge base article.

If you have any questions or concerns, please submit a ticket to the Enterprise Service Centre at (https://uoft.me/m365help).
