This is a reminder that eToken authentication for high security logins, including AMS, ROSI, ROSI Files, Rocket Shuttle, StarRez and Unit VPNs, will migrate to UTORMFA on November 27.

UTORMFA has already been adopted by over 11,000 members of the U of T community. UTORMFA, powered by DUO, is a software based multi-factor authentication method that authenticates user logins via prompts sent to a user’s phone. This authentication method is easy to use, quick to set up and secure. If you haven’t already done so, sign up for UTORMFA today.

Dear IT Administrators,

Please join us for a Connect+Learn session on Electronic Signatures and Enterprise DocuSign.

With fewer people in the office or meeting face to face, obtaining wet signatures on documents has become increasingly complicated, but navigating digital options can be overwhelming and confusing. So, last year an ITS working group was established to research and help demystify electronic signatures for U of T.

This session will address the following:

  • What is an electronic signature?
  • When do you need to use an electronic signature?
  • How is an electronic signature different from a digital signature?

This session will tackle those questions and introduce the recently launched eSignature Competency Centre, a resource portal providing information and guidance on electronic signatures. We’ll also showcase the Enterprise DocuSign service, a secure and robust solution for completing contracts, approvals and agreements in minutes rather than days.

Successful Connect+Learn back to campus series

How can University of Toronto staff best prepare for a return to campus and what are the best ways to connect on campus and remote teams? With 23 sessions and over 1,050 attendees, the recent Connect+Learn Back to Campus series offered participants a chance to learn about the latest and greatest technologies for a hybrid workplace.

Throughout the month of August, Enterprise Applications & Solutions Integration (EASI) provided these sessions, which were designed to complement the Return to Campus ITS Toolkit.

“These tools will help to facilitate people’s transition to a hybrid work environment and will help to streamline workflows,” says Kathleen McLeod, a Services Engagement Coordinator with EASI and lead organizer of the series. “They eliminate the need to email back and forth to track tasks and book resources; ultimately they’re helping to save time.”

Some of the most popular sessions included an overview of all tools for re-entry, online storage solutions and tools to help with tracking tasks.

Since March 2020, EASI has welcomed over 6,220 attendees to 133 online Connect+Learn sessions.

“The Connect+Learn series was initially created as a short-term response to the needs of a rapidly changing workplace when we suddenly shifted to working remotely at the start of the pandemic,” says Gary Raposo, Senior Manager, Enterprise Shared Services with EASI. “We’ve had so much success with this training initiative that we now offer weekly sessions. This most recent series focused on our return to campus and the next shift in how we work: the hybrid work environment.”

What’s next for Connect+Learn?

In the future, the EASI team will continue to offer supportive and collaborative drop-in training that responds to the emerging needs of a hybrid workplace.

“We’ll offer our planned weekly sessions as well as sessions focused on recent technology updates – it’s important to use an agile approach so we’re ready to educate users about the latest changes,” says McLeod. “And we look forward to further growing this offering and welcoming even more people to our sessions!”

eToken Migration Project Update

Dear eToken users,

As you may be aware, eToken authentication for high security logins, including AMS, ROSI, ROSI Files, Rocket Shuttle, StarRez and Unit VPNs, will migrate to UTORMFA on November 27.

UTORMFA has already been adopted by over 11,000 members of the U of T community. UTORMFA, powered by DUO, is a software based multi-factor authentication method that authenticates user logins via prompts sent to a user’s phone. This authentication method is easy to use, quick to set up and secure. If you haven’t already done so, sign up for UTORMFA today.

In preparation for this migration, your local IT administrator(s) will be deploying a configuration update for Cisco AnyConnect to your computer before November 8. After the deployment, you will see the current AdminVPN (port.eis.utoronto.ca) and the new AdminVPN (admin.vpn.utoronto.ca). This new admin.vpn.utoronto.ca will be fully activated on November 27 – please continue to use port.eis.utoronto.ca until this date. 

If you do not have a local IT administrator, you can submit a ticket through Remote Access Help in the Enterprise Service Centre.

If you are a Digital Workplace client, please know that the Digital Workplace team will be responsible for deploying the configuration to managed workstations.

Speed of U of T enrolment sees massive improvements

It’s been three years since Enterprise Applications & Solutions Integration (EASI) completed a large upgrade to its Student Information Systems. Since then, students can now enrol in a fraction of the time that it used to take prior to the Platform Modernization Project.

Fast enrolment has a university-wide impact, relieving much of the stress that U of T’s 95,055 students face in preparation for their studies. In 2021, more than 10 times more students were able to enrol within the first minute of their enrolment window when compared to 2018.

See the extensive preparation that goes into planning for peak enrolment period, how testing has changed over time and the results of a finely tuned system.

Image Description: Peak Enrolment Period 2021 includes 15 major enrolment days across 3 campuses. Testing includes setting up 2,500 student accounts with the assistance of Information Security. Each account is validated to ensure login works and add/drop course transactions work. 3,500 logins are simulated over 45 seconds and add/drop course transactions are performed to test the limits of the system. In 2018, the Platform Modernization Project launched and updated infrastructure from a mainframe server to Linux servers. In 2019, the team performed extensive testing to tune the new Linux infrastructure. In 2020, EASI and Information Security worked to tune a new authentication process called UTORMFA. In 2021, the team performed standard testing using 2020 as a benchmark to confirm peak performance. As a result of these improvements, in 2018 one per cent of the day’s total course transactions occurred within the first minute while this number increased to 19 per cent for 2021. In 2018, three per cent of students enrolled in the first minute of their start time window while in 2021, this number increased to 43 per cent. Other improvements that the team has made include an update to the ACORN launchpad to Azure Cloud/WordPress and a renewed focus on security. These improvements are important because U of T has a large student population. 95,055 students are enrolled with 15,345 new full-time students entering First Entry undergraduate programs in fall 2020-21. U of T also welcomes international students from 164 countries and regions.

 

Action Required: Updating Cisco AnyConnect Configuration – eToken Migration Project

This communication is intended for divisional IT administrators.

As you may be aware, eToken authentication for high security logins will migrate to UTORMFA on November 27. UTORMFA has already been adopted by over 10,500 members of the U of T community, is easy to use and provides enhanced security for U of T’s systems.

As part of this project, we will be changing AdminVPN from port.eis.utoronto.ca to admin.vpn.utoronto.ca. Applications currently using AdminVPN with eToken include:

  • AMS
  • ROSI
  • ROSI Files
  • ROSI Express
  • Rocket Shuttle
  • Unit VPNs

To prepare for this change, we will need your help to install an updated Cisco AnyConnect AdminVPN profile by November 8, 2021. This will allow admin.vpn.utoronto.ca to automatically appear in the Cisco AnyConnect drop-down menu, providing users with easy access.

The deployment package (KB0011157) has been developed by Information Security and can be used to roll out the configuration to your users.

Should you require further assistance, you can submit a ticket to the Enterprise Service Centre.

If you are using eToken Digital Signing, please move to an alternative electronic signature solution before February 2022. No new eTokens will be issued after November 27, 2021, and new staff members will need to use an alternate solution for electronic signatures.

Stay tuned for additional communications about other services such as Remote Desktop Gateway (RDG) and desktop login.

Further communications about this project will also be sent to AdminVPN users on September 23.
