Dear AMS GUI users,

This is a reminder that the Administrative Management System (AMS) will not be available for GUI users from 6:00 p.m. to 11:00 p.m. on Tuesday, April 12, 2022. This outage will allow for the preparation for the across-the-board (ATB) increase for USW staff. More information can be found in the Memorandum of Agreement, on the People Strategy, Equity & Culture website.

All other AMS web-based systems, including Administrative Academic Appointments (AAA), Expense Reimbursement Direct Deposit (ERDD), My Research, Capital Project Portal, Invoice Workflow, Employee Self-Service (ESS), Manager Self-Service (MSS) and Fiori Launchpad Reporting will be available during this time.

AMS FI Fiscal Year-End Closure 2022

Hi everyone,

This year AMS will close for FI year-end processing on Thursday, April 28, 2022 at 7pm and will re-open on Monday, May 2, 2022 at 7am.

Expense Reimbursement Direct Deposit (ERDD), and the Capital Projects Portal and Invoice Workflow will resume regular functionality on Monday, May 2, 2022 at 7am. uSOURCE will resume operation at 9am.

The following summarizes the AMS system availability during the week prior to year-end closing:

Please do NOT process any batch or online Change of POSt (CHOP) on Thursday, April 7 and Friday, April 8.

If you process a CHOP for a student during this period, the student’s fees will be calculated incorrectly and in a manner that will be very difficult and time-consuming for Student Accounts to correct.

The student’s ACORN Financial Account may be blocked while the corrections are made.

If you must process a CHOP for a student during this period, then you must trigger fees assessment by viewing the student’s invoice and forward an email message to bonnie.vincze@utoronto.ca.

Student Receivables & Accounting is testing the Summer 2022 session fees assessment process during this period, and if the testing is successful, fees assessment will be turned ‘ON’ at 5pm on Friday, April 8 and fees will be available to view on ROSI on Monday, April 11.

EASI Go Prod NGSIS Updates – Dec. 1, 2021 to Mar. 31, 2022

Hi everyone,

Enterprise Applications & Solutions Integration (EASI) would like to update you on the latest major production releases and updates for the NGSIS program and student systems. From December 1, 2021 to March 31, 2022, EASI completed close to 66 releases for a wide range of applications.

The following are major changes during this timeframe:

Degree Confirmation (March 1)
Enterprise Applications & Solutions Integration in collaboration with the Office of Convocation launched the new Degree Confirmation on March 1. This application allows third parties to verify that alumni have U of T credentials, and all public details associated with those credentials. The solution simplifies the degree request and payment process and provides a responsive desktop and mobile-friendly user experience. It has streamlined processes for administrative staff by using a combination of automated requests and manual review while maintaining a high degree of accuracy.

 Course Information System (CIS)
The Course Information System streamlines syllabi and exams processes for instructors and administrators. CIS has made the following releases: 

  • Improvements to Course Groupings (December 13)
    Sections of all primary teaching methods can now be grouped together, allowing administrative staff greater flexibility and control creating Course Groups.
  • Angular Upgrade – Phase 1 (February 15)
    The first phase of migrating the front-end framework has been completed. The new framework ensures CIS continues to receive critical security updates in a timely manner.

Accommodated Testing Services (ATS)
The ATS project streamlines accommodated testing processes for students, instructors and administrators. ATS has made the following releases: 

  • Improvements for Instructors and Administrators (Feb 15, 2022)
    Several targeted improvements to the CIS Accommodations functionality based on feedback from instructors and administrative staff. Improvements include enhanced filtering options for administrators and clarified statuses for instructors.
  • Restrict final exams display (March 4 and 10)
    Prevent unnecessary final exams from displaying to instructors for undergraduate courses in ARTSC and APSC on the CIS Accommodations tab. The second release on March 10 implemented a permanent solution to this issue that will affect all upcoming final exam periods.
  • Improvements for Administrators (March 31, 2022)
    Several targeted improvements for administrative staff users including enhanced information displayed on the designates screen, controlling access to course pre-fix, and, the ability to select designates by entering UTORid and Utoronto email address.

Curriculum Management (CM) and Curriculum Publisher (CP)
Course Experience tags have been added to CM to reflect elements of Work-Integrated Learning incorporated into the design of undergraduate courses. The data is now available for reporting purposes and to be made available to students in Calendars, timetables and syllabi (via the Course Information System). Undergraduate divisions are adding the data to CM over the course of the current governance cycle and the data points will be added to information supplied to CP. Course requisites fields have also been upgraded to accept formatting.

ROSI Express display error

A number of ROSI Express users are reporting an issue with search results not displaying the requested student information when selected. The problem is intermittent. We are looking into the cause and a solution though we have found that if the user clears their browser cache the problem will resolve. The problem is limited to ROSI Express. ROSI screens and searches are not affected.

We hope that we have a solution soon. We will notify you when we do.

Teams Updates for Winter 2022

New guest expiry policy for SharePoint and OneDrive

To SharePoint and OneDrive owners,

Effective April 2, EASI will launch a new guest expiry policy that will improve security by:

  • Requiring that guests using sharing links re-authenticate with a new verification code every 90 days (this will happen automatically).
  • Prompting SharePoint site administrators and OneDrive owners to review and renew guest access after 180 days or else revoke access.

Who does this policy apply to? 

These policies will only apply to new guests invited after April 2. A guest is an external person (non-U of T email). The guest policy does not apply retroactively to guest users that have pre-existing permissions or access through a sharing link before the guest expiration policy was applied. The expiring access policy does not apply to guest accounts who access content through their membership of a Team.

What should I expect?

Once the policy is enabled, primary SharePoint site collection administrators/OneDrive for Business owners will receive e-mail notifications 2-3 weeks ahead of time informing them about any guests that are set to expire. In addition, a yellow banner will appear on the web versions of OneDrive or SharePoint. As owners/administrators you will be able to:

  • Let access expire automatically on the scheduled date
  • Forcibly remove access immediately
  • Extend access for another 180 days

These email notifications are not spam. Emails will be sent from “SharePoint Online” (no-reply@sharepointonline.com). If you ignore and do not extend access, the guest will lose access on the specified date and a new sharing invitation would need to be issued.

Exceptions 

Exceptions to the policy may be requested only for SharePoint sites with external sharing enabled. Site administrators may request a custom guest expiry window of up to 365 days for their specific site. To request an exception for an existing SharePoint site, please submit a ticket at https://uoft.me/sharepoint-gethelp.

What do I need to do to prepare? 

Review the Enterprise Service Centre knowledge articles above so you know what to expect. If your SharePoint site has external sharing enabled, ensure the primary site admin details are always up to date so that the proper person receives the notifications.
