Dear all AMS users,

We are pleased to announce that the Go Live cutover for the S/4HANA Migration was successful and the Administrative Management Systems (AMS) will be available at 7:00 a.m. this morning.

As a reminder, here are instructions for how to access AMS:

You should already have been upgraded to the new version of the SAP GUI and have new icons in your Windows start menu. From today (Tuesday) at 7:00 a.m. onwards you will be able to access AMS by either using the SAP-AMS-Cloud or SAP-AMS-HANA-Cloud shortcuts. Please note: the icons may vary between users.

Please note: 

  • RPT instance/clone (containing October Month End + November 3 Bi-weekly pay) has been made available to end users starting Monday, November 2 (and beyond) so that Business Officers (and anyone else) can review their pre-migration balances and reports and begin/complete the reconciliation of their October Month End balances. As previously detailed in September,after October 31 no additional clones of the RPT instance from AMS will take place. For more details regarding changes to RPT, please refer to this webpage.
  • View documentation on how to “back out” the November 3 Bi-weekly payroll activityfrom your Funds Management report balances so you can reconcile to your October Month End Monthly Statement of Account balances.

Open in Desktop App moving to Mode menu in Office for the web (Word, PowerPoint, and Excel)

The Open in Desktop App command is moving to the Mode menu (Editing, Reviewing, Viewing) in Office for the Web. A teaching callout will help people learn the new location of the Open in Desktop command. This change will soon roll out to Word, Excel, and PowerPoint for the web applications.

Previous Open in Desktop App command:

The original open in Desktop App button was in the middle of the main Word menu.

New Open in Desktop App command:

The new open in Desktop App button is now located in the "Editing" menu in Word.

As you may be aware, the S/4HANA Migration Go Live is quickly approaching with upcoming outages that will occur during this transition. From Tuesday, November 3 at 7:00 a.m. onwards you will be able to logon to SAP using a new icon.

Dear ROSI Users,

We are excited to announce that Student Information Systems (SIS) is working to replace its current SIS for Staff website with a more secure, modern, and up to date site. It’s a development that will provide users with a brand-new experience thanks to its new design, accessible interface, and extended search results and accessibility features.

You will notice that we are moving the SIS website to SharePoint. This will allow us to share more information than we can in the current public website. You will need to use your UTORid and password to access the site.

Since spring 2020, Student Information Systems has worked on enhancing content currency, web structure, security, and design to provide a better user experience.

The new SIS SharePoint site is scheduled to launch later this fall.

U of T’s SAP Administrative Management Systems upgrade launches November 3

On November 3, 2020, U of T will launch the next phase of an upgrade to its Administrative Management Systems (AMS) – called the S/4HANA Migration. The new platform will create the foundation for improved overall system performance and future modernization of the SAP systems.

U of T’s Financial Information System will be a core part of this upgrade and will create a flexible transactional and reporting system built into one. As well, the upgrade will set the stage to improve speed and reporting for the Human Resources Information System and Research Information System in the future.

“While the transition represents minimal change to business processes, it’s a large technical upgrade for U of T,” says Praveen Narayanaswamy, solutions architect with Enterprise Applications & Solutions Integration (EASI). “We’re implementing revolutionary database technology that will streamline reporting and operations and provide a foundation for future growth.”

This undertaking has required extensive planning, including code cleanup, system design and build, three rounds of testing involving more than 150 users, two full dry run cutovers, and detailed final preparation to ensure a smooth go live.

The core project team has involved over 40 people with members from Financial Advisory Services and Training (FAST), Human Resources & Equity, Procurement Services, Facilities & Services, and Division of the Vice-President, Research & Innovation. It has also required consultation from divisions, local IT administrators, Information Security, Enterprise Infrastructure Solutions and the vendor, EPI-USE.

It’s an exciting development for staff and U of T in general.

“Moving to the S/4HANA platform will have many benefits for the end users and the University as a whole,” says Lorena Gaudio, manager of FAST. “While the initial migration to the S/4HANA platform, slated for the beginning of November 2020 will be primarily technical in nature, resulting in little to no changes in the system and business processes currently employed by the end users, there will be an immediate benefit realized due to the vast improvement in system performance.”

The new platform represents the next phase of a five-year project, called the U of T Enterprise Modernization Program, that will upgrade U of T’s Administrative Management Systems and transform the future for more than 33,000 staff and faculty – with a revamped HR Talent Management Suite and core HR and research systems.

“The S/4HANA Migration is another major milestone for the U of T Enterprise Modernization Program,” says Cathy Eberts, director of Enterprise Applications and Deputy CIO. “Last year we moved from Halogen to SAP SuccessFactors Performance and Goals. We also created a new staff Learning Management System, and in July we launched a recruitment platform to replace Taleo. Next we plan to work on Succession Planning and Employee Central, which will replace parts of the Human Resources Information System.”

The platform will have the potential to provide an improved user interface as well as enhanced analytics and better insights into reporting. The new interface will be part of the U of T’s first steps into SAP’s latest and greatest web-based user experience offering: the SAP Fiori Launchpad.

A sneak peak of the user interface will be available with a redesign of the Expense Reimbursement Direct Deposit (ERDD) on the Web application, which is expected to launch in early 2021. This application will still be available through the Employee Self-Service and Manager Self-Service portal, but its new user interface will be responsive to mobile use.

The transition to the new system will also eliminate the need for the historical “Reporting only” (RPT) instance. “The main purpose of RPT in the past was to handle big reports so it didn’t slow down the system,” says Gaudio. “After the launch, everyone can run their reports at the same time using the live AMS data.”

While RPT will not be available during scheduled AMS downtimes, EASI will be reducing these downtimes. The new 24/7 reporting solution is anticipated to be ready by the holiday shutdown period and will run a range of key reports.

The S/4HANA Migration cutover is scheduled to happen from Saturday, October 31 at 12 p.m. to Tuesday, November 3 at 7 a.m. You can see supporting documentation and upcoming information sessions for modifications to the Financial Information System.

In the future, Gaudio sees a lot of potential.

“Going forward, the introduction of the FIORI technology and future plans for the deployment and use of that technology, will play a key role in the future modernization of the ways in which the University manages the collection, storage and use of system information.”

Remodeled Student Information Systems Website to launch later this fall

Enterprise Applications & Solutions Integration’s Student Information Systems (SIS) is working to replace its current SIS for Staff website with a more secure, modern, and up to date SharePoint site. It’s a development that will provide users with an improved user experience thanks to its new design, accessible interface, extended search results and accessibility features.

Users will be able to gain access to additional, secure information since SharePoint requires UTORid authentication. In addition to this added security, the SIS team has also worked on enhancing content accuracy, and website structure and design.

The SharePoint site will help users to find information more quickly with its Microsoft Search. This feature allows users to search with keywords across site pages, files, names, titles and full text from the entire site. This modern platform will also make it easier to transmit data, track information, and manage documents.

Since SharePoint offers enhanced security, the SIS team could integrate the Enterprise Service Centre (ESC) knowledge base articles directly with the site.

SharePoint is also available on mobile apps to help users stay productive and up to date while on the go. You can access all of your sites and information, read news from and for your organization, search and discover relevant content, stay informed with the “Me” tab and save items for future reading.

In the future, more websites, including project collaboration sites, may be integrated to SharePoint for an effortless collaboration and simplified information exchange. The SIS SharePoint site is scheduled to launch later this fall.
