Pursuant to our previous email, the form to submit new shared mailbox requests is now live. Community members can submit requests for new shared mailboxes directly to the University’s Enterprise Service Centre (ESC) using the Create Shared Mailbox Request form here. Note: UTSC staff and faculty should continue to submit new shared mailbox requests through the IITS Help Desk via helpdesk@utsc.utoronto.ca /416-287-HELP (4357).

Background 

On November 24, the University of Toronto moved to a full-service shared mailbox creation process. Community members can now submit requests for new shared mailboxes directly to the University’s Enterprise Service Centre (ESC). Once the request form is submitted, it will be processed by Information Technology Services (ITS). The requesting user will be notified once their new shared mailbox is ready. 

Can users still submit new shared mailbox requests to Reader Registration? 

As of November 24, Reader Registration is no longer be processing new shared mailbox requests. All shared mailbox requests should now be submitted to the ESC using the Create Shared Mailbox Request form. 

How is the new shared mailbox request process different from before? 

Previously, community members who requested new shared mailboxes submitted shared mailbox requests on University letterhead to Reader Registration. They were then issued a library number and alternate ID number and directed through a set-up process.  

The new shared mailbox request process only requires a single form submission: once the Create Shared Mailbox Request form is submitted through the ESC, the requester’s manager will automatically receive a notification to approve the request. Once approved, the rest of the set-up process is facilitated by ITS. The requesting user will receive a notification when their shared mailbox is ready, and no other steps are required.

Dear Colleagues,

This is a reminder that the new external email banner notification will be rolled out to the university today, November 19, 2020. This initiative is designed to warn U of T faculty, staff and students of emails originating outside the university.

The banner is just one part of our strategy to mitigate malicious and sophisticated email attacks directed at the university community and may be removed in the future as we are able to implement additional security tools.

A number of issues were initially brought to our attention regarding the external email banner. We evaluated the concerns raised regarding the impact of the banner on the general quality of communications with known external colleagues and the limited email preview pane. To alleviate these concerns, we have significantly shortened the banner and associated text.

Starting on November 24, the University of Toronto will move to a full-service shared mailbox creation process. Faculty and staff will submit online requests for new shared mailboxes directly to the University’s Enterprise Service Centre (ESC). Reader Registration will no longer be processing new shared mailbox requests.

The new online request form will be available to the University community on November 24 via the ESC. Once the form is submitted, it will be processed by Information Technology Services (ITS). No additional setup is required by the requesting user, and the user will be notified once their new shared mailbox is ready.

macOS Users: Postpone Upgrade to Big Sur Operating System

Dear macOS Users,

As you may be aware Apple has officially released macOS Big Sur, its latest operating system for Macs and MacBooks.

If you are a Mac user and use AdminSys VPN with an eToken, please postpone upgrading to this new operating system. This upgrade is not compatible with U of T’s AdminVPN server version and Information Security is currently working on a server upgrade. We will release this upgrade as soon as testing is completed.

If you process a CHOP for a student during this period, the student’s fees will be calculated incorrectly and in a manner that will be very difficult and time-consuming for Student Receivables & Accounting Office to correct.

The student’s ACORN Financial Account may be blocked while the corrections are made.

If you must process a CHOP for a student during this period, then you must trigger fees assessment by viewing the student’s invoice, and forward an email message to bonnie.vincze@utoronto.ca.

Hi everyone,

We are excited to announce that the new Student Information Systems (SIS) site is live. It’s replacing the previous SIS for Staff website with a more secure, modern, and up to date site. This is a development that will provide users with a brand-new experience thanks to its new design, accessible interface, and extended search results and accessibility features.

You will notice that we moved the SIS website to SharePoint. This will allow us to share more information than we can on the current public website.

Since spring 2020, Student Information Systems has worked on enhancing content currency, web structure, security, and design to provide a better user experience.
