Changes to External Email Banner

Dear Colleagues,  

A number of issues have been brought to our attention regarding the new external email banner initiative designed to warn U of T employees and students of emails originating outside the university.    

The banner is just one part of our strategy to mitigate malicious and sophisticated email attacks directed at the university community and may be removed in the future as we are able to implement additional  security  tools.  

We have evaluated the concerns raised regarding the impact of the banner on the general quality of communications with known external colleagues and the limited email preview pane. To alleviate these concerns we have significantly shortened the banner and associated text.  

The revised banner will be rolled out to the university beginning November 19, 2020.   

This is how the banner will appear at the top of all faculty, staff and students’ external emails:

Dear ROSI users,

We are excited to announce that Student Information Systems (SIS) is replacing its current SIS for Staff website with a more secure, modern, and up to date site on Monday, November 16. It’s a development that will provide users with a brand-new experience thanks to its new design, accessible interface, and extended search results and accessibility features.

You will notice that we are moving the SIS website to SharePoint. This will allow us to share more information than we can in the current public website. You will need to use your UTORid and password to access the site.

Since spring 2020, Student Information Systems has worked on enhancing content currency, web structure, security, and design to provide a better user experience.

The new SIS SharePoint site is scheduled to launch on Monday, November 16.

We are excited to announce that a new electronic signature, self-service SharePoint Centre of Excellence site https://utoronto.sharepoint.com/sites/its-easi-esignature is now available for use.

The new SharePoint site has been a joint effort between Information Technology Services and divisional representatives to provide resources and guidance for divisions interested in e-signature solutions. E-signatures have been legal in Canada since 2004 and endorsed by PIPEDA (Personal Information Protection and Electronic Documents Act), however COVID-19 times have created new urgencies to digitize and optimize some processes where signatures are required.

As many of you will know, Information Security is initiating a roll-out of the University of Toronto’s new multi-factor authentication (MFA) service UTORMFA. UTORMFA offers a significant contribution to the University’s mission to protect user accounts and data: this layer of security provides extra assurance for users and creates an additional barrier for anyone trying to gain unauthorized access to user accounts.

Staff, faculty and librarians across the tri-campus community are all encouraged to self-enroll in UTORMFA.​ This month, Connect+Learn will offer two sessions on the UTORMFA self-enrollment process to assist the University community in this transition.

After the Go Live cutover for the S/4HANA Migration this morning, some users have notified us that they’re unable to login to the Administrative Management Systems (AMS) using MacOS.

The SAP GUI MacOS instructions for the AMS HANA connection had an error and they have been updated. Please refer to the updated AMS HANA details in the section “SAP GUI for Java Connection strings (Advanced Mode).”
